MICE Visa Facilitation Process for International Delegates Coming to Namibia

  1. Initial Notification to the Ministry

To initiate the MICE Visa facilitation process, event organizers must submit an official notification letter addressed to the Ministry of Home Affairs, Immigration, Safety and Security.

The letter should include:

  • A brief description of the event
  • Event venue/location
  • Contact person details
  • Expected number of international participants

The letter should be sent to micevisa@nipdb.com.The Namibia Investment Promotion and Development Board (NIPDB) will forward the request to the Ministry for visa support.

  1. Submission of Delegate Information

Organizers are required to complete the official delegate Excel template with the following information for each delegate:

  • Full name (as it appears on the passport)
  • Date of birth (YYYY/MM/DD)
  • Passport number
  • Nationality

Please ensure that the format, structure, column headings, and font of the Excel template are not altered, as any modifications may result in rejection by the system.

  1. Event Code Issuance

Once the completed delegate list has been received and Ministry approval has been obtained, NIPDB will:

  • Upload the delegate information to the visa system
  • Generate and issue a unique Event Code

The Event Code is required for delegates to proceed with the online MICE Visa application.

MICE Visa Application Process for Delegates

Step 1: Obtain the Event Code

Delegates must receive the Event Code from the event organizer.

Step 2: Register on the E-Services Portal

Create a user profile on the e-services portal.

Step 3: Apply for a MICE Visa

Select MICE Visa as the visa category. No other visa category should be selected.

Step 4: Prepare Supporting Documents

The following documents are required:

  • Scanned copy of the passport data page
  • Passport-sized photograph
  • Flight ticket reference number

Step 5: Submit the Application

Complete and submit the online application through the e-services portal.

Step 6: Receive Visa Reference Number

Upon approval, a visa reference number will be issued.

Step 7: Make Payment

Complete payment according to the instructions provided.

Processing Times

  • Participants: Approximately 48 hours
  • Presenters: 3–5 working days
  • Organizers: 3–5 working days
  • Media personnel: 3–5 working days

NAMRA Customs Requirements for Exhibitors

(For anyone bringing equipment to Namibia to take note)

Exhibitors bringing equipment or products into Namibia must submit a detailed inventory list that includes:

  • All items being brought into the country
  • Serial numbers for all equipment

The information will be shared with the relevant NAMRA contact to facilitate customs clearance and support.

MICT Media Accreditation Requirements

Media personnel covering the event must first obtain accreditation from the Ministry of Information, Communication and Technology (MICT) before applying for a MICE Visa.

The following documents are required:

  • Invitation letter addressed to the media representative
  • Copy of the media representative’s passport
  • Completed visa application form
  • Equipment list, including serial numbers

Following submission and approval, an approval letter will be issued by the Executive Director of MICT, enabling the delegate to proceed with the MICE Visa application.

Namibia Visa Information

Visa requirements depend on your nationality. Namibia currently offers the following options:

Category Visa Requirement
Citizens of visa-exempt countries No visa required (subject to permitted length of stay)
Eligible nationalities Visa on Arrival or e-Visa available
Non-eligible nationalities Visa must be obtained before travel from a Namibian diplomatic mission

Documents generally required

  • Valid passport (minimum 6 months validity)
  • Three blank passport pages
  • Return/onward ticket
  • Accommodation confirmation
  • Proof of financial means
  • Travel itinerary
  • Travel/medical insurance
  • Yellow Fever certificate (when applicable) (MHAISS)

Important Notice

Yellow Fever Vaccination

Dear Valued Delegate,

Please note that a Yellow Fever Vaccination Certificate is required only for travelers arriving from, or transiting through, countries with a risk of Yellow Fever transmission.

Travelers should carry the original International Certificate of Vaccination if applicable.

To avoid delays at immigration, delegates are advised to ensure they meet all health and immigration requirements before departure.
